These Terms & Conditions (“Terms”) govern use of the website handsoffsupport.co.uk and the outsourced admin / virtual assistant services provided by Hands Off Admin Support (“we”, “us”, “our”). By using our website or engaging our services, you agree to these Terms.
A separate written agreement, proposal or statement of work may apply to specific clients and will take priority if it conflicts with these website Terms.
1. Who we are
Hands Off Admin Support provides professional administrative support to UK small and medium-sized businesses and sole traders. Contact: info@handsoffsupport.co.uk.
2. Our services
We offer flexible outsourced admin support, which may include (depending on the agreed scope):
- Calendar and schedule management
- Email organisation and correspondence
- Phone and call handling
- Meeting coordination and follow-up
- Document preparation and management
- Data entry and CRM / database maintenance
- Expense processing and invoice support
- Customer onboarding and account updates
- Other admin tasks agreed in writing
We are not a law firm, accountancy practice, regulated financial adviser, or employment agency. We do not provide legal, tax, audit or regulated financial advice. You remain responsible for professional advice in those areas.
3. Enquiries and discovery calls
Website enquiries and discovery calls are free and without obligation. Information given during sales conversations is indicative; final scope, hours and fees are confirmed in a written proposal or agreement before paid work begins.
4. Client agreements, hours and fees
- Packages, hourly rates, retainers and any onboarding fees will be set out in writing before work starts.
- Prices on the website are guides and exclude VAT unless stated otherwise.
- Retainer hours are typically used within the agreed month; unused hours are not automatically rolled over unless we agree otherwise in writing.
- Additional work outside the agreed scope may be charged at the agreed ad-hoc rate or as a package upgrade.
- Invoices are payable within the period stated on the invoice (often 7 or 14 days). We may pause work if invoices remain unpaid.
5. Your responsibilities
To enable effective support, you agree to:
- Provide timely access, information and decisions needed for the tasks
- Ensure you have the right to grant us access to systems and data
- Keep login credentials secure and revoke access when appropriate
- Review critical communications or documents where your approval is required
- Comply with applicable laws in your use of our services
6. Access to systems and confidentiality
You may provide access to email, calendars, cloud storage, CRM, accounting tools or similar. We will use that access only to perform agreed services and will treat your confidential business information with care. We will not disclose it to third parties except as needed to deliver the service, as required by law, or with your permission.
You are responsible for backing up critical data in your own systems. We recommend that you do not grant more access than necessary.
7. Data protection
How we handle personal data is described in our Privacy Policy. Where we process personal data on your behalf as part of admin services, you are typically the controller and we act as a processor. A data processing schedule can be included in your client agreement on request.
8. Service standards and limitations
We aim to provide reliable, proactive and professional support. However:
- Response times depend on the package and agreed channels of communication
- We are not responsible for delays caused by lack of access, incomplete instructions, third-party system outages, or force majeure events
- Admin support does not replace your management responsibility for business decisions, compliance, or regulated activities
9. Intellectual property
Materials we create specifically for you as part of paid services (e.g. templates tailored to your business) are licensed to you for your internal business use unless otherwise agreed. Our website content, branding and pre-existing materials remain our property.
10. Website use
You may use this website for lawful purposes only. You must not attempt to disrupt the site, misuse forms, or scrape content in bulk without permission. Website content is provided for general information and does not constitute a binding offer until we confirm an agreement in writing.
11. Limitation of liability
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be limited under English law.
Subject to that, our total liability arising out of or in connection with the services in any month is limited to the fees paid for our services in that month, and we are not liable for indirect or consequential loss, loss of profit, loss of business, or loss of data, except where prohibited by law.
You should maintain appropriate insurance for your business activities.
12. Cancellation and termination
- Either party may end an ongoing retainer in accordance with the notice period in the client agreement (if none is stated, 30 days’ written notice is a reasonable default).
- We may suspend or terminate services immediately for non-payment, abuse, unlawful instructions, or security concerns.
- On termination, we will cooperate reasonably to hand back access and materials, subject to payment of outstanding fees.
13. Non-solicitation
During an engagement and for 6 months afterwards, you agree not to directly solicit our individual contractors or staff who delivered your services for employment or competing freelance work, without our prior written consent. This does not prevent general recruitment advertising.
14. Governing law
These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction, except that consumers (if any) may benefit from mandatory local protections.
15. Changes
We may update these Terms periodically. The “Last updated” date will change when we do. For ongoing clients, material changes to service terms will be communicated as appropriate.
